Thames House Virtual Office Terms & Conditions
1. Definitions
“Provider” means Thames House, Waterside Drive, Langley, SL3 6EZ.
“Client” means the individual or company purchasing the virtual office service.
“Service” means any virtual office, registered address, or mail handling service provided by the Provider.
2. Services Provided
2.1 The Provider offers the following services, subject to the selected package:
- Use of the Thames House address as a business or correspondence address
- Mail receipt and holding
- Mail scanning and email forwarding
- Mail forwarding by post
2.2 Services will only be provided once:
- Payment has been received; and
- All required identification and compliance checks have been completed.
3. Compliance and Identification
3.1 The Provider is required to carry out identity and anti-money laundering checks.
3.2 The Client must provide:
- Valid photo ID; and
- Proof of address; and
- Company registration details (if applicable).
3.3 The Provider reserves the right to refuse or terminate services if:
- Satisfactory identification is not provided;
- The service is suspected to be used for unlawful or misleading purposes.
4. Permitted Use of Address
4.1 The address may be used only for legitimate business purposes.
4.2 The Client must not:
- Use the address for illegal or fraudulent activities;
- Use the address in a way that damages the reputation of the Provider;
- Suggest that they physically occupy or operate from the premises unless separately agreed.
4.3 The Provider reserves the right to request copies of marketing materials, websites, or listings using the address.
5. Mail Handling
5.1 The Provider will receive mail on behalf of the Client according to the selected package.
5.2 The Provider will not accept:
- Parcels exceeding reasonable size or weight;
- Dangerous, perishable, or illegal items.
5.3 The Provider may refuse or return any items at its discretion.
5.4 Mail scanning:
- The exterior of the envelope will be opened;
- Contents will be scanned and emailed to the Client.
5.5 Mail forwarding:
- Postage and handling fees may apply;
- The Provider is not responsible for delays caused by postal services.
6. Limitation of Liability for Mail
6.1 The Provider shall not be liable for:
- Loss, delay, or damage caused by postal or courier services;
- Indirect or consequential losses.
6.2 The Provider’s total liability shall not exceed the amount paid by the Client for the service in the preceding three months.
7. Fees and Payment
7.1 Services are provided on a subscription basis and billed monthly in advance.
7.2 Payments are taken automatically via the payment method provided.
7.3 If payment fails:
- The Provider may suspend the service immediately;
- Mail handling may cease until payment is received.
7.4 Any outstanding balances must be cleared before services resume.
8. Term and Cancellation
8.1 The service runs on a rolling monthly subscription.
8.2 The Client may cancel at any time by giving 30 days’ written notice.
8.3 The Provider may terminate the service immediately if:
- The Client breaches these terms;
- The service is used unlawfully or improperly;
- Payments are not made.
9. Post-Termination Mail Handling
9.1 Upon termination:
- The Client must cease using the address immediately.
9.2 Any mail received after termination may: - Be returned to sender; or
- Be destroyed after 14 days.
9.3 The Provider is under no obligation to store mail after termination.
10. Address Removal and Compliance
10.1 The Client must remove the Thames House address from:
- Companies House records;
- Websites;
- Stationery;
- Marketing materials
within 14 days of termination.
10.2 Failure to do so may result in:
- Additional charges; or
- Legal action to compel removal.
11. Suspension of Service
11.1 The Provider may suspend services immediately if:
- Payments are overdue;
- Identification documents expire or become invalid;
- There is suspected misuse of the address.
12. Indemnity
12.1 The Client agrees to indemnify the Provider against:
- Any claims, losses, or damages arising from misuse of the address;
- Any unlawful or misleading activities conducted by the Client.
13. Data Protection
13.1 The Provider will handle personal data in accordance with applicable data protection laws.
13.2 Personal data will only be used for:
- Providing the service;
- Legal and compliance purposes.
14. Changes to Terms
14.1 The Provider may amend these terms at any time.
14.2 Updated terms will be published on the website.
14.3 Continued use of the service constitutes acceptance of the updated terms.
15. Governing Law
15.1 These terms are governed by the laws of England and Wales.
15.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
